Club Sports Program Assistant — Job Posting

Program Assistant, Club Sports

Employment Type: Part-Time (20 hrs/wk undergraduate or 29 hrs/wk graduate)
Reports To: Assistant Director, Competitive Sports
29 Club Teams Admin + Events Student-Facing

Position Summary

The Program Assistant for Club Sports at Boston College supports daily operations and long-term planning for 29 competitive, student-run sport clubs. Responsibilities include administrative coordination, communications with club leadership, financial reconciliation, and event support throughout the academic year. Working closely with student leaders, coaches, and staff, the Program Assistant ensures compliance with university and department requirements while enhancing the participant experience. Hours are semi-regular, Monday–Friday with occasional weekends.

Key Responsibilities

  • Support onboarding and ongoing engagement of club officers and leadership.
  • Assist with compliance tracking, administrative deadlines, and risk management requirements.
  • Coordinate logistics for practices, competitions, events, and facility access.
  • Facilitate financial processes: reimbursements, purchasing, and budget tracking.
  • Communicate with vendors, coaches, and internal departments.
  • Manage seasonal programming and club activities (events, meetings, trainings).
  • Plan and execute end-of-year reviews, reports, and budget proposals.
  • Prepare for the upcoming academic year (schedules, contacts, resources).
  • Support summer program planning and administration.

Administrative & Financial Duties

  • Reconcile P-Card transactions and track fiscal year expenses.
  • Process VRFs, invoices, and reimbursements in a timely manner.
  • Maintain accurate club records, budgets, and contact sheets.

Qualifications

  • Strong organization and attention to detail; excellent written and verbal communication.
  • Experience in sports administration or student organizations preferred.
  • Familiarity with purchasing systems, P-Cards, and event coordination is a plus.
  • Ability to manage multiple projects and deadlines; collaborative, student-focused mindset.
  • Previous involvement in collegiate sport clubs is a plus.
  • Experience with Google Workspace and platforms such as Do Sports Easy.
